How to send an enquiry that gets an accurate quotation
The fastest way to a useful quotation is to tell us what you are buying, how many, for whom and by when. Garment pricing depends on fabric, weight, wash or print, trims, labels and packing, so a vague request can only get a vague range. A good enquiry has six parts: the garment lines, the fabric or quality level you expect, the sizes and size ratio, the quantity per style and per colour, the labelling and packing you need, and the destination port with the date by which you want to sell.
If you have a reference garment, a tech pack, a photograph or a competitor's sample, send it. We can work from any of these and will return a counter-sample with measurements. If you do not yet have a design, tell us the market and the price point, and we will propose styles from our range that match.
What you receive from us
Within one to two business days you receive a written quotation with price per piece on FOB, CFR or CIF terms, the minimum order per style, the lead time, the packing, the payment terms and the sampling plan. If we cannot meet a requirement, such as a delivery date that is too tight, we say so in the first reply rather than after you have paid a deposit.
After you approve the quotation we send fabric swatches and a lab-dip, then a made-up sample with a measurement sheet. Only when you approve the sample do we confirm the order and start bulk production. During production you receive progress updates, and before loading you receive a photo, video and measurement report from the final inspection.
Samples, prices and payment
Samples are normally charged at cost with courier, and the charge is adjusted against the bulk order. Prices are quoted in US dollars, with euros on request, and your bank converts to local currency. Payment terms are 50% advance with order confirmation and 50% before dispatch against export documents; L/C at sight can be discussed for larger orders. Larger repeat customers can discuss other terms, such as a letter of credit.
We quote prices that include the labelling and packing you specify, so there are no surprises when the goods arrive. Where duties or taxes in your country affect the landed cost, we show our price on an ex-duty basis and point you to the country page for the rates and rules that apply, which your customs broker should confirm.
Reaching us by phone, WhatsApp and email
Our export desk works in three eight-hour shifts, so a message sent at any hour in the Gulf, Africa, Europe or the Americas is read the same day. The quickest channel for a short question is WhatsApp on +91 87809 43729; for a full enquiry, email hurainengitechandtrade@gmail.com with your garment list attached. You can also call +91 87809 43729. We reply in English and can also write in Hindi, Gujarati and Urdu.
Our office is in Palanpur, Gujarat, close to Mundra and Kandla ports. Visits are welcome by appointment: we can show fabric, samples and packing, and arrange visits to partner factories when the order is large enough to justify it.
Documents, inspection and shipping
Every shipment goes with a commercial invoice, a packing list, a certificate of origin and a bill of lading or airway bill. Where your market requires it, we also supply test reports, OEKO-TEX or social-compliance documents and fumigation certificates. A third-party inspection by an agency such as SGS or Bureau Veritas can be arranged at your cost.
We ship from Mundra, Kandla and Nhava Sheva in full containers (FCL) or as part loads (LCL), and by air for urgent samples and small orders. Sea transit is about 5 to 10 days to the Gulf, 12 to 45 days to Africa, and 20 to 45 days to Europe and North America, plus production time, which is why the country pages recommend ordering three to five months before a selling season.
How the sampling stages work
Sampling has three stages and each one has a purpose. The fabric swatch and lab-dip prove that the cloth and colour are what you expect, before anything is cut. The made-up sample proves the fit, construction and trims, and comes with a measurement sheet that becomes the standard for bulk inspection. The pre-production sample, used for larger or tender orders, is made on the production line with production fabric, and proves that the factory can repeat the sample at volume.
Each stage takes between a few days and two weeks depending on the garment and the complexity of the print or wash. We tell you the timing in the quotation, and we do not start bulk production until you have approved the last stage you asked for in writing.
Choosing between FOB, CFR and CIF
FOB means we deliver the goods on board at the Indian port and you arrange freight and insurance, which suits importers who have their own forwarder and negotiate freight rates. CFR means we also pay the sea freight to your destination port, and you handle insurance, customs and local delivery. CIF adds marine insurance to CFR. Most first-time importers prefer CFR or CIF because it gives them one price to a port they know; most repeat importers prefer FOB because it gives them control of freight.
Whichever you choose, the quotation states the port, the container type and the expected transit time, and the shipping documents are prepared to match your bank's or broker's requirements. If your country requires a pre-shipment inspection or an electronic import declaration, tell us before production so the documents are ready.
After you confirm the order
Once the sample is approved and the deposit is received, we issue a production schedule with dates for fabric, cutting, sewing, finishing, inspection and loading. You receive a short progress update at each stage, with photographs, so you know where the order stands. If anything threatens the delivery date, such as a delayed fabric lot, you hear about it immediately together with the options.
Final inspection is carried out on an AQL 2.5 basis and compared with the approved sample's measurements. You receive the inspection report with photographs and, where agreed, a video of the cartons being packed and loaded. The balance is payable against the export documents, which we send as soon as the container is loaded.
If something is wrong
Despite inspection, a problem can occur: a shade difference, a size ratio error or a damaged carton. Tell us within the period agreed in the order, send photographs and the carton and style numbers, and we will investigate with the factory and agree a remedy, which may be a replacement, a repair or a credit against the next order. We keep records of every inspection, so we can see quickly whether a problem is isolated or systematic.
